Volunteer Job Descriptions

Parent/guardian participation in a swim meet is essential to the success of the
Crestwood Wahoos. Every family is required to volunteer at swim meets, and we have a variety of positions to accommodate both novice and experienced parent volunteers. Families with one or two children are required to work one shift.  Families with three or more children must cover two shifts.  It takes almost 70 parent volunteers to operate a successful, smoothly running dual meet.

Descriptions of the various positions are listed below:

Age Group Clerk: This is the parent that makes sure that their age group swimmers get to the ready bench in time for their event. Clerks are essential for helping the younger swimmers stay organized for their relays.

Runners: Card runners collect the event cards from the timers along with the finish judges' re­sults and give them to the scorers' table at the end of each heat. 

Ready Bench:  It is the Ready Bench Clerk’s responsibility to make sure swimmers are in the seats behind the blocks of their assigned lanes. They will have a heat sheet to do this. Age group clerks should help the clerk-of-course/ready bench to ensure younger swimmers compete in the correct event, heat, and lane. 

Concessions: Concessions are a very important source of income for the team. Members of the concessions team are responsible for selling refreshments and food at home meets. For each meet, we will ask for concession donations and a few volunteers for the concession stand.

Head Timer:  The head timer starts two stop watches to time each event in a back-up capacity. They are also responsible for letting the Ref know the timers are ready for each event.

Referee: The referee has full authority over all officials and shall assign and instruct them before each meet. The referee is also responsible for resolving all matters related to the conduct of the meet. The referee may double as the starter or as a stroke-and-turn judge and should have at least one season's experience in one of these positions before acting as a referee.

Ribbon Writers: Ribbon writers receive labels from the scorers' table and put them on the appropriate ribbons. Ribbons are given for first through sixth place for all events. 

Sorters: Sorters are responsible for receiving the completed timer sheets, DQ slips, Jump judges and Finish Judges' results and recording the appropriate placement of swimmers. The scorer determines the official time of the swimmer. We will provide training for our sorter volunteers.

Starter: It is the responsibility of the starter to work with the Ref and start each race. The starter must attend a GKAISA Officials certification class.

Stroke and Turn Judge: It is the responsibility of the S&T to determine whether or not a swimmer is swimming a stroke legally. They issue disqualifications (DQs) when a swimmer swims with an improper technique. They must attend a GKAISA Officials certification class.

Timer: Timers use a stop watch to time each race.

Scribe: Scribes write down the times on the timer sheets from the timers stopwatch. (Sometimes the timers do both of these jobs.)
